Therapist/Practice:
Client/Participant: The natural person utilizing the services of TogetherSamen.
Services: Psychosocial therapy, coaching, ACT community therapy, meditation & mindfulness classes.
These terms apply to all offers, appointments, and agreements between TogetherSamen and the Client/Participant.
Formation: An agreement is established once TogetherSamen confirms the registration. The participant receives a confirmation via email containing the agreed-upon arrangements, dates, and these general terms and conditions. TogetherSamen reserves the right, based on the information provided by the participant (e.g., during intake), to decide not to admit a candidate to an activity if it is deemed unsuitable.
Cooling-off period: For agreements concluded at a distance (website, email, or telephone), a 14-day statutory withdrawal period applies, unless the service begins within this period with the client’s explicit consent.
Individual Sessions: Invoiced after the session. Payment is due within 14 days.
ACT community therapy: Full payment must be settled via invoice at least 1 month (4 weeks) prior to the start.
Meditation & mindfulness classes: Payment must be completed in full via invoice prior to the start of the class.
Introductory meeting: Must be cancelled at least 2 hours in advance; otherwise, a €25 fee applies.
Individual Session: Must be cancelled at least 24 hours in advance; otherwise, 100% is charged.
ACT community therapy scale:
Up to 6 weeks before start: 100% refund.
6 to 4 weeks before start: 50% fee due.
4 to 2 weeks before start: 75% fee due.
Less than 2 weeks before start: 100% due (no refund).
During ACT community therapy: Due to the nature of the therapy, it is important to commit to the pre-scheduled dates. If you cannot attend sessions after the therapy has commenced, no reimbursement is offered; however, suitable alternatives may be explored together.
Meditation & mindfulness classes: No reimbursement for late arrivals or non-participation.
Personal data is processed according to GDPR (AVG) and NFG guidelines. Medical records are kept for 20 years (WGBO) and financial records for 7 years.
TogetherSamen has an obligation of effort, not result. Participation in therapy, coaching, or training is entirely at one’s own risk. If in doubt about one’s health, the participant is advised to consult their GP or co-treating professional for approval. Any specific complaints must be discussed with the therapist. The participant remains fully responsible for their own well-being. TogetherSamen is not liable for any physical or personal injury resulting from participation, unless caused by intent or gross negligence. Liability is limited to direct damage and capped at the amount paid out by the professional liability insurance. TogetherSamen is never liable for indirect or consequential damages, such as loss of income.
TogetherSamen operates based on professionalism, honesty, transparency, and trust. If a participant/client is not satisfied or has a complaint – despite all good intentions, the following 4 steps can be taken:
Step 1: Lets discuss
ToetherSamen will invite you to discuss the complaint together in an open, respectful way together. Since many complaints are often about communication and how you have experienced your session(s), many issues can be resolved during this step.
Step 2: Support via the NFG
If step 1 does not lead to a satisfactory solution, you can report your complaint to the professional association (de NFG) of TogetherSamen.
The complaint handling contact person will help you clarify your complaint and will support you—based on a clear step-by-step plan—by exploring options to reach an agreement between you and TogetherSamen.

Step 3: Making use of an independent complaints officer
If step 2 is not fruitful, step 3 will come into play in which the contact person handling the complaint will work with you to clearly formulate the complaint and will forward this information—in a secure environment—to the independent complaints officer. The goal of this step is to reach an agreement between you and TogetherSamen, according to an approved complaints procedure.
If it is not, you can bring the complaint before the independent Disputes Committee.
Step 4: The Disputes Committee
If the complaints procedure (which must always be completed first) has not yielded a satisfactory solution, you can submit a dispute to the independent Geschillencommissie Complementaire Zorg (Disputes Committee for Complementary Healthcare), to which TogetherSamen is mandatorily affiliated.
The Disputes Committee assesses whether the complaint is admissible, allows room for an agreement, and issues a binding decision where necessary.
All agreements between the client and TogetherSamen are governed by Dutch law. The parties agree that the competent court in the practitioner’s place of residence has jurisdiction.
